Amsterdam VIP Tours uses your personal information to respond to your enquiry and arrange a private visit. This policy explains how we handle that information under the General Data Protection Regulation (GDPR, known as the AVG in the Netherlands).
Who is responsible?
Amsterdam VIP Tours is responsible for the personal information described here. Contact us at info@amsterdam-viptours.com or +31 6 421 199 00. Our address is Buitendraaierij 58, 1021 NN Amsterdam, The Netherlands. Dutch Chamber of Commerce number: 52381188; VAT ID: NL850418471B01.
What information do we receive?
The enquiry form asks for your name, email address and number of guests. You can also share travel dates, your hotel, hotel-booking preferences and a message about your visit. If you contact us by email or WhatsApp, we receive the contact details and information you choose to send. For a confirmed booking, we may also need billing details and information necessary to arrange the agreed services.
We need your name and email address to reply, and the number of guests to prepare a suitable proposal. The other enquiry fields are optional. If you request hotel-booking assistance, select a star rating or “No preference”. Please describe practical walking or accessibility preferences without including medical details, identity documents or payment-card information.
Why do we use your information?
- Enquiries and bookings: to prepare a proposal, communicate with you and carry out your booking. The legal basis is taking steps at your request before a contract and performing that contract.
- General questions and website security: our legitimate interest in answering questions and keeping the website safe from abuse.
- Financial administration: to meet our legal accounting and tax obligations.
Submitting an enquiry does not sign you up for a newsletter. Where we rely on your consent for a separate purpose, you can withdraw it by contacting us.
Sending, storage and service providers
- Cloudflare: provides website hosting, delivery and security. When the enquiry form is enabled, Cloudflare Workers sends your request by email and Turnstile checks for spam and automated abuse. These security services process technical information such as your IP address and browser signals. See the Cloudflare privacy policy and Turnstile Privacy Addendum.
- MijnDomein: currently hosts our mailbox at info@amsterdam-viptours.com. The website does not keep a separate database copy of your enquiry; the request is delivered to this mailbox.
- WhatsApp: if you choose to contact us through WhatsApp, WhatsApp also processes information under its own privacy policy. You can use email instead.
- Google Fonts: supplies the website typefaces. Your browser connects to Google to load the font files, which involves technical connection information.
To arrange a confirmed programme, we share only the information needed by the relevant guides, transport providers, boats, hotels or restaurants. We may also disclose information when legally required. We do not sell your enquiry details.
Some providers operate internationally and may process information outside the European Economic Area. Such transfers require an applicable legal safeguard, such as an adequacy decision or standard contractual clauses. Contact us if you would like information about the safeguards relevant to your enquiry.
How long do we keep it?
We keep enquiry emails and related correspondence for no longer than 24 months after the last contact, unless a legal obligation or the handling of a claim requires a longer period. Information that is no longer needed is deleted. Invoice and tax records have a separate statutory retention period, generally seven years; the 24-month enquiry period does not replace that obligation. Technical security data is handled separately by the relevant service provider and is not subject to our enquiry-mail retention period.
Cookies, links and automated checks
This version of the website does not use Google Analytics, Meta Pixel or comparable advertising tracking. Cloudflare security checks and any necessary security cookies are used to protect the website. Social links open the relevant service when you click them; those services have their own privacy policies.
Turnstile makes automated checks to identify spam and bots. We do not use automated decisions that have legal or similarly significant effects on you. Booking arrangements are handled by our team.
Your privacy rights
You can request access, correction or deletion of your information. Where applicable, you can also request restriction or data portability, object to processing based on legitimate interests, or withdraw consent. Email info@amsterdam-viptours.com. We may ask for a proportionate identity check and normally respond within one month. Legal retention duties may prevent immediate deletion of some records.
You can complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local supervisory authority.
Keeping your information safe
We use encrypted website connections and limit access to enquiry information to those who need it to handle your request. If you have a privacy question or a concern about security, contact info@amsterdam-viptours.com. We update this policy when our services or use of personal information changes.
